The Contracts area, as a strategic service area has, among
its main functions, to support the users in catering to their
needs, performing third-party service processes through bids
or price contests, objectively assessing them through committees,
to select the best technical-economical alternative in the
market, with ensures a sustained contract, a safe and efficient
operation that represents making economies in its performance.
It manages the operation of signed contracts applying control
procedures to minimize contracting risks and checking the
compliance with contract, employer and tributary obligations.
Within cost administration, it makes cost-benefit justification
assessments and negotiates the rates under the “win-win”
equity principles.
Bids:
Strategic partners selection processes are made by applying
objective and technical criteria. The evaluation of the bids
is oriented from administrative, technical and economical
aspects. Representatives of the area requesting the services
and representatives of the Contracts area form the assessing
committee; eventually, when the committee so deems it convenient,
it calls other members. Once the evaluation is completed and
approved, the Contracts area notifies the wining party and
thanks the other candidates for their participation.
Audits:
These are meant to objectively verify under established formats,
the timely compliance with contractual, employer’s and
tributary obligations,
Programmed audits are made on the basis of an annual programming,
with a minimal frequency of 02 times per year and the non-programmed
ones, when it is considered necessary.
Observations that are found must be solved within the established
terms; iterative non-compliance may cause the termination
of the contractual bond.
Controls:
Attendance records are kept daily of the number of personnel
of strategic partners in order to avoid exceeding twenty-one
days of continuous stay in our premises.
A control system has been established which prevents Strategic
Partners’ personnel from :Sentering our operational
areas without having an updated At-Risk Work Supplementary
Insurance Policy as required by law.
For strategic partners’ personnel and visitors in the
mine site, the demand has been established for them to get
insurance for medical care, so they are covered by in case
of any illness.
